Recommended workflow

  1. 01A patient request enters one booking queue from phone, WhatsApp or the clinic form.
  2. 02The system checks availability, records the appointment and synchronizes the dentist’s calendar.
  3. 03Confirmation and reminder messages are sent automatically in Georgian or English.
  4. 04Cancellations reopen the slot; overdue follow-ups appear in the receptionist’s daily queue.
  5. 05The AI suggests a message category and draft response, while staff approve anything patient-facing.

Our role

AI-assisted discovery, product scoping, workflow design and live estimate.

The problem

Appointments arrive by phone and WhatsApp, staff copy details into calendars, reminders depend on memory and follow-ups are easy to miss. The clinic needs less administration without losing human control over patient communication.

What we built

A secure clinic workspace brings bookings, staff schedules and patient follow-ups together. Rule-based automation confirms appointments, sends reminders and creates follow-up tasks; a focused AI assistant helps classify incoming messages and prepare replies for staff approval rather than making clinical decisions.

The outcome

The proposed first release gives the receptionist one daily queue, reduces duplicate entry and makes every reminder and follow-up visible. It is a planning blueprint, not a claim about a completed client deployment.

Illustrative solution blueprint generated from a realistic clinic brief. Scope and pricing use the current estimator and would be confirmed during discovery.
